Terms and Conditions

The Canadian Immigration Consultants Club (RCIC Club) is a federally incorporated non-profit organization that spans across Canada.

For the following terms and conditions, unless otherwise specified, The Canadian Immigration Consultants Club (RCIC Club) means any RCIC Club employees, directors, members, designates or volunteers.

Individuals who apply for or receive pro bono services from a volunteer Regulated Canadian Immigration Consultant (RCIC), a lawyer or a licensed paralegal in Ontario, through the Hope Line understand and agree to the following terms and conditions of service:

Nature and Limits of RCIC Club’s Role and Relationship with Clients

  • RCIC Club as a non-profit organization does not enter into retainer agreement or business relationship with any client it serves
  • RCIC Club is not responsible for meeting any time restrictions involved in the immigration matter(s) a client requests assistance with
  • Communication with anyone at RCIC Club does not constitute legal advice
  • RCIC Club cannot provide any free consultation services when there is a conflict of interest as defined in Code of Business Conduct & Ethics and RCIC Code of Professional Ethics

Nature and Limits of Consultation Services Provided

Free consultation services may be provided by a lawyer, a licensed paralegal in Ontario, or a Regulated Canadian Immigration Consultant (RCIC).  Services provided from the Hope Line are brief and summary in nature.  This means:

  • RCIC Club has the right to end the consultation at any time and consultations cannot be more than 30 minutes per service
  • Consultations does not include assistance with document preparation
  • RCIC Club cannot provide comprehensive opinions or predict outcomes of a specific case
  • RCIC Club does not provide second opinions
  • RCIC Club does not accept requests to notarize documents or commission affidavits. RCIC Club will advise clients where to obtain this type of services
  • RCIC Club does not serve or accept service of documents
  • RCIC Club does not review any documents provided by the clients
  • RCIC Club cannot replicate the quantity or quality of services received from a privately retained Immigration lawyer, a licensed paralegal or a RCIC.

Any client who receives free consultation services through the Hope Line does not form an ongoing relationship with anyone who provides  immigration consulting advice or services unless that is specifically agreed upon in a written retainer agreement.  This means that when clients receive the free services from the Hope Line, neither RCIC Club nor its volunteers have any further duty to follow up with the clients in regards with any immigration matters they are dealing with.

RCIC Club is released from all claims whatsoever that could have arisen through the use of its premises or the provision of its services.

Privacy Policy

RCIC Club is governed by the provisions of the Freedom of Information and Protection of Privacy Act and the Canada Not-for-Profit Corporations Act. Both of these laws have provisions limiting how RCIC club can collect and disclose information, including the personal information collected from clients and Regulated Canadian Immigration Consultants (RCICs).

In this privacy statement, personal information means information about a person that is recorded, and can be used to identify that person.

Ontario’s Freedom of Information and Protection of Privacy Act includes, but does not limit the meaning of personal information to the following:

  • Cases where knowing the name of a person would reveal information about that person
  • A person’s race, national or ethnic origin, colour, religion, age, sex, sexual orientation, or marital or family status
  • Medical, educational, financial, employment and criminal history
  • Address, telephone and other numbers assigned to the person, such as  which province a client resides
  • Private correspondence with us
  • Views or opinions

The personal information RCIC Club collects and uses is only for its own business purposes.

When volunteers provide the 30-minutes free consultation to clients, they will conduct an intake process that requires personal information, and there is a statement setting out the purposes for collection and the authority in law for the collection.

Personal information is not sold to third parties. It is disclosed only as authorized by law. In some cases, disclosure will be permitted because the person from whom the information came has consented to its disclosure. Disclosure may also take place where it is necessary for the performance of the duties of a RCIC Club employee or volunteer.

RCIC Club is authorized to contact those who apply for or receive services for the purpose of answering questions about the value of RCIC Club’s services, but clients have rights to refuse participation.

RCIC Club has established a detailed policy on privacy and all members and volunteers are trained in issues of confidentiality and privacy. RCIC Club also has physical, technological and procedural safeguards to prevent unauthorized access to the information RCIC Club holds.

It is important that the personal information RCIC Club has about individuals be correct. If you wish to view or correct your own personal information, you may contact us to do so.

Under the Freedom of Information and Protection of Privacy Act, individuals have the right to request access to information which RCIC Club holds. Where a request is denied, a written decision is provided, setting out the reasons for the denial. The requester has a right of appeal to the Information and Privacy Commissioner of Ontario.
